Deterministic means the same recorded inputs, evaluated under the same rules, produce the same result. CleanBooks calculates trust balances in whole cents and reconciles them as of a specific date. The result comes from the records and the rules—not an estimate or a generated explanation.

Three balances. Agreement to the penny.

Monthly three-way reconciliation compares the bank statement, adjusted for outstanding checks and deposits in transit, with the trust books and underlying client and other separately identified balances. The bank side and the ledger side must both reconcile.

A matching total is not enough.

CleanBooks also checks individual client balances for shortfalls. One client’s positive balance cannot make another client’s negative balance disappear simply because the pooled account total looks right.

Keep client money separate.

CleanBooks rejects entries that would mix business money with client funds.

Review transfers before money moves.

Transfers from trust require approval, with supporting documents available to the reviewer.

A history that stays intact.

Corrections preserve the original record. Supporting documents and approval records remain part of the history, so the work can be traced and examined.

We challenge the controls—not just the happy path.

Our test suite attempts to bypass application safeguards, insert trust entries without client or matter attribution, and alter protected records. It tests both the transactions that should succeed and the ones the system must refuse. Database-level safeguards provide another line of enforcement beneath the application.
